How to make a great coffee line sheet

Structuring a coffee line sheet

A coffee line sheet is for shops and grocers stocking retail bags. Show each coffee with its bag shot, origin or blend components, roast level, tasting notes, bag size, case pack and both prices. Group single origins and blends separately, flag seasonal lots with their availability window, and add a small block on how fresh the bags arrive (roast date, best within so many weeks).

Typical coffee wholesale terms

Café accounts are usually priced per pound with volume tiers (for example above 20 lb a week), on weekly standing orders with net 15 or net 30. Retail bags often go out in cases of 6 at roughly 55–60% of retail. Roasters commonly include barista training or loaner equipment on volume contracts; list it if you do.

What coffee buyers look for

Two kinds of buyer read a coffee price list: cafés buying 5 lb bags to brew, and shops buying retail bags for the shelf. Separate them into Café and Retail sections. Cafés care about roast-to-delivery time, espresso recipes and equipment support; retailers care about shelf life, bag design and tasting notes customers understand.

FAQ

Coffee line sheet questions

What makes a good line sheet for retail coffee bags?

Clear tasting notes, roast level, origin, bag size, case pack, wholesale and SRP, plus the roast-date policy. Shops also like a short brew suggestion to pass on to customers.

How should a roaster price wholesale coffee for cafés?

Most roasters quote a price per pound with tiers by weekly volume, for example one price below 20 lb a week and a lower one above it. Make sure every tier still covers green coffee, roasting, packaging, delivery and labor.

Should a line sheet show retail prices?

Show both: the wholesale price is what the buyer pays you, and the MSRP (suggested retail price) tells them their margin at a glance. Most boutiques expect at least a 2x markup, so a sheet with both numbers answers their first question before they have to email you.
