How to make a great wine line sheet

Structuring a wine line sheet

A wine line sheet for shops is shorter than a full catalog: one row or block per wine with the bottle shot, varietal, region, vintage, two lines of tasting notes, case size, wholesale per bottle and suggested shelf price. Group by color and flag allocated or limited wines with quantities available, since buyers move fast on those.

Typical wine wholesale terms

Wine trade is shaped by alcohol law. In the US three-tier system, wineries usually sell through a licensed distributor or self-distribute where state law allows, so a trade list often shows frontline price per bottle and per case plus case discounts. Rules differ in other countries; check your licensing before selling direct to trade, and always say whether prices include taxes or duty.

What wine buyers look for

Wine buyers for shops and restaurants read a trade price list for vintage, varietal, appellation, alcohol, case size and how many cases are available. Restaurants also think about by-the-glass potential, so a short tasting note and a food pairing help. Small production numbers sell wine; include them when they are true.

FAQ

Wine line sheet questions

How do I show allocated wines on a line sheet?

Mark them with a badge and state how many cases are available per account. Allocation rules up front avoid back-and-forth emails.

How should I show case discounts?

Add a line such as "5+ cases: 5% off, 10+ cases: 10% off" under the relevant section, or a separate per-case price column. Keep the rule simple enough to apply at a glance.

Should a line sheet show retail prices?

Show both: the wholesale price is what the buyer pays you, and the MSRP (suggested retail price) tells them their margin at a glance. Most boutiques expect at least a 2x markup, so a sheet with both numbers answers their first question before they have to email you.
