Tips

How to make a great coffee price list

Units, tiers and updates on a coffee price list

Cafés buy coffee by the pound on a weekly cycle, so a roaster's price list should lead with wholesale bags (5 lb) priced per pound, with volume tiers by weekly poundage in the next columns. Retail 12 oz bags for resale go in their own section with case packs and SRP. Print roast days, order cutoff and the effective date in the header, and add a note when a lot is limited.

Fields to show on a coffee price list

Origin, process, roast level, tasting notes, bag size, price per bag and per pound, volume tiers, roast days and order cutoffs, and whole-bean or ground options. List certifications (organic, Fair Trade) only if you hold them.

FAQ

Coffee price list questions

Should a coffee price list show price per pound or per bag?

Both. Cafés compare suppliers on price per pound, but they order bags. A per-pound column next to the bag price makes comparisons easy and avoids invoice disputes.

How often should I update my coffee price list?

Green coffee prices move, so review at least quarterly and print an effective date. A shareable online price list means accounts always see current numbers.

How often should I update my price list?

Reissue it whenever costs move enough to change a price, and at least once a year. Always print an effective date at the top so buyers know which version they are holding; with an online catalog link they always see the current one.
